Ask when people can actually travel.
Propose a few date ranges and let each traveler mark every range as available or unavailable. Show who has not answered. The organizer can confirm a range after checking those responses. Public holiday information can be useful context, but it is not a promise of school leave, good weather, or a lower price.
Put destination ideas side by side.
Give each destination a name, country, reason to go, and a link that opens the original source. A photo or saved screenshot can help everyone recognize the same place. If the options are Dahab and Aswan, choose the destination before comparing two apartments that both happen to be in Dahab.
Make the group decision visible.
Show who voted for each destination and who has not voted. Do not silently choose a winner if there is a tie or several people have not answered. The organizer records the confirmed choice and can reopen the decision if the group changes its mind.
Treat a stay quote as a quote.
Once the destination is selected, compare actual stay links, the full quoted total, currency, people sharing it, and any important fees or cancellation terms. Open the source listing before booking because prices and availability change. A saved estimate should enter the expense ledger only after somebody pays and reviews the actual amount.
